ABOUT THE ROLE

The Transparency International Secretariat is seeking a motivated, open-minded People Operations Coordinator (m/f/d) to join the People and Culture Team. As part of a small team providing human resources support to TI Secretariat (TI-S) with approximately 130 international staff, you will be responsible for the various administrative and operational HR-related issues that arise in the organisation on a day-to-day basis. We're looking for an HR-Allrounder who loves to work with people from around the world and whose values align with TI's mission of fighting corruption across the globe.

OVERVIEW OF KEY DIMENSIONS

Role Purpose: The People Operations Coordinator (m/f/d) performs a variety of People & Culture operational tasks arising on a day-to-day basis, including maintenance of the HRIS, immigration and relocation support, contract management, as well as overall People and Culture administration. The People Operations Coordinator will work in close collaboration with the People Business Partners and with Office Management, providing cover for these team members during times of leave.

Salary Band: Salary according to TI-S internal salary structure; for this position corresponding to band PF2 a salary starting EUR 42,000.00 gross per year depending on relevant experience

Starting Date: as soon as possible

Contract Duration: Currently we can offer an employment contract limited for a duration of 1 year. There is a prospect of extension subject to organisational need, performance proven and funding confirmed and there is interest in a stable and long-term cooperation.

MAIN ACCOUNTABILITIES OF THE ROLE

Based in the People and Culture Team and reporting to the Head of People and Culture, the HR Generalist will:        

  • Assist with delivering various human resource plans and procedures, assisting in development and implementation of HR policies and procedures, and ensuring effective communication of new or updated policies and procedures
  • Inform, advise and assist employees with administrative related matters including maternity and parental leave
  • Issue and administer contracts, official statements, references, insurance applications and claims, etc. in line with official deadlines and legal requirements
  • Support the coordination and processing of all issues related to ‘place of work’ outside of Germany (e.g. secondments)
  • Ensure that all immigration and relocation processes (residence permit applications, extensions, family relocations etc) are performed accurately and in accordance with regulations and deadlines, while supporting our staff through the process
  • Support international staff with administrative aspects of life in Germany
  • Administer and maintain staff records ensuring all data is accurate and up to date, maintain HRIS system and stay abreast of system updates and suggest improvements
  • Support People and Culture related projects including e.g. policies, guidelines, procedures and their implementation
  • Support the Office Management function in areas of Health & Safety
  • Keep abreast of changes in HR laws and regulations (e.g. social insurance, pension, tax, insurances, etc.) and keep all relevant stakeholders informed
  • Contribute to the overall functioning of the People & Culture Team providing proactive and ad hoc support as needed

CANDIDATE PROFILE

In order to succeed in this role, candidates will need to meet the following:

  • 2-3 years of formal education (e.g. apprenticeship, vocational education) or relevant undergraduate degree
  • 4+ years of relevant professional experience preferably including experience in HR administration and related tasks with organisations based in Germany and subject to German law
  • In-depth knowledge of the German Labour Law, social security, payroll and related required
  • Experience with international organisations and multi-cultural work environments an advantage
  • Flexible and adaptable, able to handle multiple tasks across a wide range of issues and work under pressure
  • Ability to communicate effectively with both internal stakeholders and external partners, service providers, etc.
  • Professional language proficiency in both English (organisational language) as well as German essential
  • Solid HR generalist knowledge, in particular of HR policy frameworks
  • Good knowledge of MS Office (in particular Word, Excel and PowerPoint) and familiarity with HR systems/software
  • Proven ability to handle confidential information with a high level of organisational awareness and sensitivity
  • People and service-oriented attitude and intercultural awareness and respect for diversity
  • Commitment to the values and principles of Transparency International
