CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Student Administration Assistant, to implement and support the current processes of the CIMMYT Academy to work in the CIMMYT Academy. 

 

The position will be based at CIMMYT headquarters in Texcoco, State of Mexico, near Mexico City.

Specific duties:

  • Support the Student Training Program of CIMMYT Academy and its related administrative procedures.
  • Administer the student contract process in liaison with the student, university, the research programs and relevant CIMMYT internal units for logistic and administrative arrangements.
  • Conduct on and offboarding including but not limited to housing, travel, immigration, health insurance, etc.
  • Ensure effective induction of students and integration into the Research program and organization.
  • Maintain the database complete up-to-date records for all past and new students in the Academy systems (LMS, Dynamics, other databases).
  • Manage the documentation and records of student-related data (communications, forms, attachments).
  • Take part in the social and professional activities and events provided to students. Support in logistics and communication.
  • Inform students about all social engagement initiatives, including charity events.
  • Prepare presentations and reports as required.
  • Maintain close relationships with the student community, ensuring the well-being of all students.
  • Coordinate the offering of mandatory trainings (induction, security) and optional trainings (intercultural, language)
  • Support initiatives with CIMMYT Academy’s alumni network.
  • Support the communication efforts of the Academy as required, internally within CIMMYT and externally with students.
  • Establish and maintain effective professional and fluent communication channels with all CIMMYT areas.
  • Support and engage in continuous needs assessment of student improvements/training programs to be offered to the students through the Academy (soft skills training/ hard skills training/ technical training etc.)
  • Continuous monitoring of student programs and identifying areas of improvement as a value add from the Academy to complete the learning loop.
  • Perform any additional tasks as assigned by your supervisor.
  • Bachelor’s degree, in Administration, Human Resources, Law, International Relations, or related field.
  • English language proficiency (an English test will be administered; candidate must score a minimum of C1 as per the CEFR).
  • Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
  • Experience with Dynamics 365 or similar HR ERP system is desirable.
  • Prior experience in intercultural work environments is preferred
