Context

Reporting to the Chief of Central Service in Brindisi, Italy, and operating within delegated authority, the individual will oversee the development, coordination and management of programs and initiatives within the Central Service pillar. This includes aiding in the execution and oversight of process improvement endeavors, business process enhancements, and project administration to bolster service delivery capabilities.

Task description

Reporting to the Chief of Central Service and operating within delegated authority, The incumbent’s duties include: •Assisting in the planning and execution of change management activities linked to the introduction of significant Central Service projects, processes, and protocols. •Collaborating with project leaders, business process owners, and designated contacts to support the implementation of a structured change management plan. •Identifying the necessary resources and stakeholders involved in the change management process and ensuring their active engagement. •Facilitating the implementation of identified activities and providing assistance to those accountable for their execution. •Fostering a culture of continuous learning and improvement, including documenting lessons learned and ensuring dissemination and enhancement. •Leading initiatives for process review, optimization, and automation within key Central Service Units, including the review and standardization of templates. •Engaging in client interactions, addressing requests, coordinating new projects, and communicating project progress. •Conducting research and analysis to identify innovative solutions, and contributing to policy development through issue analysis and trend assessment. •Undertaking survey initiatives, including the design of data collection tools, analysis of responses, and preparation of conclusions. •Generating various written materials such as draft papers, analytical reports, report sections, and inputs to publications. •Providing substantive support for consultative meetings, conferences, and other events, including agenda planning, participant identification, and document preparation. •Collecting and analyzing data to identify trends and patterns, and presenting insights through graphs, charts, tables, and reports using data visualization techniques to support data-driven decision-making, planning, presentation, and reporting. •Performs other duties as assigned. Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities: • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day); • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country; • Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities; • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.; • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers; • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible. Results/expected outputs: As an active UNGSC team member, efficient, timely, responsive, client-friendly and high-quality support rendered to UNGSC in the accomplishment of her/his functions, including: • Improved efficiency and effectiveness; successful implementation of structured change management plans. • Active engagement of necessary resources and stakeholders in the change management process, ensuring their commitment and contribution. • Smooth implementation of identified activities, with timely assistance provided to ensure accountability and execution. • Establishment of a culture of continuous learning and improvement, evidenced by documented lessons learned and their dissemination for enhancement. • Enhanced processes, optimized operations, and increased automation within key Central Service Units through successful leadership of process review initiatives. • Satisfied clients through effective communication, coordination of projects, and transparent progress updates. • Innovative solutions identified through research and analysis, contributing to policy development and addressing emerging issues and trends. • Comprehensive surveys conducted, with well-designed data collection tools, thorough analysis, and actionable conclusions drawn. • Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment. A final statement of achievements towards volunteerism for peace and development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.
