Functional Responsibilities

The PMS Senior Assistant works closely with and under the supervision and guidance of the Project Manager to ensure support for the efficient implementation of the Project through a range of actions contributing to the planning, management, and monitoring of Project activities. 

In performing her/his work, the PMS Senior Assistant promotes a client, quality and results-oriented approach, and works closely with the Support Services to exchange information and ensure consistent service delivery.  

The PMS Senior Assistant will undertake the following activities/responsibilities:

  • Support the implementation of project activities and contribute to the cultivation of professional relationships with the project stakeholders
  • Support organisation of meetings, events, workshops, and field visits
  • Produce meeting minutes and reports and contribute to the development of Project’s reports 
  • Contribute to development of Project’s Plans 
  • Maintain Project’s filing system, archive  and registers, including risk, issue, and lessons logs 
  • Establish and cultivate regular cooperation with the Support Services in order to facilitate the progress of Project activities in accordance with relevant rules, regulations, and procedures 
  • Assist project counterparts on applicable administrative procedures and facilitate their observance
  • Follow up on engagement of project retainers and related Time Sheets
  • Contribute to the identification and assessment of risks and assist in the implementation of mitigation measures in accordance with the Risk Management Strategy 
  • Contribute to the identification and sharing of the Project’s lessons learned and best practices. 
  • Provide support to Project’s communication and visibility activities
  • Perform other duties as may be reasonably required and in line with the incumbent’s scope of services above

Education/Experience/Language requirements

Education 
  • Secondary education is required.
  • Bachelor’s degree, preferably in Economics, Business Administration, Finances, Social Sciences, Law or a related field, will be considered an asset.
Work Experience 
  • Five years of working experience in project support functions is required. Bachelor’s degree may substitute for some years of experience.
  • Experience in the conduct of administrative tasks would be an asset.
  • Experience in engagement with Governmental institutions, international organisations and donors would be an asset. 
Language Requirements
  • Fluency in Montenegrin and English is required
Driving Licence

  • Driving licence and ability to travel independently is an advantage.
