BACKGROUND
This is a local recruitment, Only Sri Lankan residents could apply. We will interview candidates on a rolling basis and may close the position before the closing date.

Reporting to the Finance & Administration Manager, the incumbent will be responsible for providing assistance to maintain the smooth functioning of the Office.
JOB DESCRIPTION
Specific duties

• Performs a variety of routine assignments as appropriate to the position; operate a personal computer to draft basic correspondence, enter data, and print letters, labels / tags, and/or other materials.
• Copies and/or duplicates materials as requested. Oversee day-to-day operation of copy machine and maintenance; may prepare and transmit faxes for the Country Office.
• Ensure documents are filed and stored methodically and help retrieval as and when needed. Maintain filing system and inventories.
• Ensure accurate records (in / out) are maintained for issuance of stationery and other supplies
• Ensuring the office is clean, stocked, and organized, especially the cafeteria, conference rooms, stockrooms, storage closets, and communal areas.
• Maintains equipment by completing preventive maintenance. Follow up with service providers to ensure the machines and equipment (including photocopy, A/Cs and emergency equipment) are maintained / serviced and in proper working condition. Serving Tea, Coffee and Snack for in-house meetings/workshops. May run various routine errands as required, for the unit/department.
• Process, sort, and route incoming and outgoing mail. Perform other administrative support tasks, including updating and sorting files
• Carry out banking / postage and any other responsibilities entrusted by the supervisor

Please Note: The above TOR contains the main responsibilities and duties of this position. However, in an ever evolving organization such as IUCN staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them but which are not part of their regular TOR. Where any task becomes a regular part of staff member’s responsibilities, the TOR should be changed in consultation between the manager, the staff member and the HR Unit. Any one of the three may initiate the consultation.
REQUIREMENTS
  • Competencies:

• Attention to detail is required
• High level of personal integrity, reliability and confidentiality

Education:

Passed G.C.E Ordinary Level

Experience:

• Have overall experience of 1 year of experience in a similar position.
• Proficiency in computers and office applications is a plus.

Languages/Other:

• Very good language skills in Sinhala (writing, speaking and reading) and working knowledge of English is required
