OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall authority of the Director of Office and director supervision of the Senior Project Coordinator; the incumbent shall serve as Data Management/Programme Associate in IICBA and shall assist in providing technical support to the design and implementation of data, monitoring, and management systems, including providing information for IICBA staff and stakeholders to support policy and programmatic decision-making for the programs and projects of UNESCO IICBA as well as ensuring the availability of the necessary profiles of teacher training institutions, relevant ministry of education and higher education.  The incumbent also provides general administrative support to the KIX project including contracts and implementation partner agreements and ensures based on the rules, regulations, policies and practices of UNESCO that are in place. More specifically, the incumbent will:

Long Description

Main duties and responsibilities

 

  • Develop data collection tools and manuals and assist in the monitoring of data collection.
  • Support data entry and management to ensure that data quality meets international standards.
  • From the thematic data collected from different countries, update the existing date, compile a Data Archive, and facilitate its dissemination to the public.
  • Document the technical standards of data for use by the wider public and address all inquiries from users relating to data.
  • Assist in any other data and information activities including profile of main stakeholders such as of teacher training institutions, relevant ministry of education and higher education that are relevant to the project as well as perform any other duties consistent with his/her specialties, as may be assigned by his/her supervisor and IICBA’s Director.
  • Contribute to the elaboration of contracts and follow up on timely budget release for the effectiveness of programme/project delivery and execution.
  • Provide administrative support to the programme team in the organization of events, meetings, workshops, etc;
  • Prepare methodology for contract tracking and ensure liquidation and closure of all relevant contracts and commitments that have elapsed.
  • Process documentation for vendor registration and ensure follow-up on vendor related issues for correction.
  • Follow up air ticket purchases and payments, prepare travel authorizations and assemble information pertinent to the purpose of travel.
  • Perform other duties as requested by the Director of the Office

  • Support in translating data into information that can be used to support policy and programmatic decision-making by partners. This support could include writing of policy briefs, briefing papers, fact sheets, and infographics.

REQUIRED QUALIFICATIONS

Education

  • Secondary, technical or vocational school.

Work Experience

  • Minimum 5 years of relevant experience in secretarial /programme /administrative and data management, preferably with UNESCO or with other United Nations agencies.

Skills and Competencies

  • Excellent sense of communication, including the capacity to draft correspondence.
  • Organizational and coordination skills, as well as the ability to take initiatives.
  • Sense of confidentiality.
  • Flexibility and ability to adapt to working hours and work priorities.
  • Practical knowledge of Enterprise Resource Planning (ERP) system.

Languages

  • Excellent knowledge of Amharic and English, both oral and in writing.
DESIRABLE QUALIFICATIONS

Education

  • Training/certification in data management, administration and/or any other related field.

Work Experience

  • Professional experience within the United Nations system or an international organization.

Skills and Competencies

  • General knowledge of UN Rules, Regulations and administrative procedures.
  • Ability to work/deal effectively and tactfully with a variety of stakeholders in a multicultural environment.

Languages

  • Knowledge of another UNESCO official language (Arabic, Chinese, French, Russian and/or Spanish).

UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc.

The approximate annual starting salary for this post is 15,589 $ US.
