Overview of position

Our clients transport section is responsible for the maintenance & repair of the UNSOS / UNSOM / ATMIS fleet deployed in six AMISOM sector hub locations in Somalia as well as a wide array of Armored Personnel Carriers (APC) & heavy transport equipment. The Asset Manager / Administrative Assistant will support the administration of the section fleet schedules & Drivers, ensuring vehicles are kept maintained in peak operating condition, setting up maintenance schedules to side step unexpected repairs & minimize costs by maximizing cost efficiency, as well as ensuring compliance of assets as per UN rules & regulations in this field to maximize costs.

Role objectives
  • Assist in the planning of the fleet asset management operations & monitor progress through statistical analysis of database records & monthly progress reports for the unit / section.

  • Assist in monitoring accounts / operations, undertaking regular site visits of field mission offices & carrying out physical inspections & verification of UN property including selecting & maintaining vehicles to keep deliveries & distributions on schedule & within established budgets.

  • Monitoring & coordinating closely with procurement on the supplies to ensure in timely delivery of the goods.

  • Performing the preliminary inspection of the supply items for quality & quantity ordered in coordination with the Receiving & Inspection (R&I) unit.

  • Monitor & control fleet maintenance & repair & that complies with in conformance with administrative instructions, LDS / DFS guidelines & mission property management Standard Operating Procedures (SOP's), for accountability of UN property at mission. register & license all fleet UN property & keep inspections up to date.

  • Monitor / control & identifying & recommending assets for write off in stock that are damaged, beyond economical repair, obsolete, or surplus.

  • Identifies issues & implements solutions to problematic areas related to asset management.

  • Ensure accurate tracking of assets & implements & monitors the periodic physical verification process.

  • Assists in compilation & drafting the SOP & flow charts relating to all aspects of asset management / administering activities within the context of the overall mandate of the unit, including Terms of Reference (ToR's) & Job Descriptions (JD's) for the staff in the unit.

  • Performs other duties as required.

Project reporting

This role reports to the line manager.

Key competencies
  • High school diploma or equivalent including a valid driver's license "B" category is required.

  • At least five years of work experience & two years at the international level in the field of administration / operations in the transport field to administer & monitor budget, assests & transport personnel.

  • Experience in UMOJA asset management & transport is desirable.

Team management

This role has no team management responsibility.
