HR and Admin Manager

Mumbai Mobile Creches

Mumbai Mobile Creches is a non-profit organisation that has supported health, safety and education of children living on construction sites for the last four decades. It runs comprehensive day care centers on construction sites, serving children who are among the most vulnerable of the urban poor. It has been a pioneer in developing early childhood education programmes and curriculum. In Mumbai, it serves over 4500 children through approximately 20 centers every year.

Mumbai Mobile Creches is seeking an experienced Human Resources and Administration Manager who is a problem-solver, decision maker, and collaborator that strikes a healthy balance between the needs of the organization and its employees. A forefront person when it comes to fostering a safe and positive work environment, developing and enforcing organization policies, and acquiring and developing talent.

HR Responsibilities:

• Overseeing talent acquisition plans, which includes writing job descriptions for recruitment, carrying out interviews, and hiring suitable job applicants
• Conducting onboarding process (Induction) to introduce new employees to their colleagues, job responsibilities, and the organization’s expectations
• Facilitating offboarding process by conducting exit interviews and full and final settlement
• Administering timely payroll, and managing accounting records for employee salaries
• Planning, identifying and undertaking staff development and training
• Overseeing insurance documents and filing employee’s insurance claim
• Monitor and maintain personnel related documentation, including staffing, recruitment, termination, leaves, training, grievances and employee leaves of absence.
• Ensuring implementation of all MMC Policies including Human Resources Policies,
• Addressing employee relations issues, such as harassment allegations, work complaints, or other employee concerns.
• Monitoring & implementing all MMC Policies and procedures have been documented, implemented, and communicated to all the employees.

Administration Responsibilities:
• Planning and coordinating administrative procedures and systems and devising ways to streamline processes
• Supervising the day-to-day operations of the administrative department and staff members
• Creating, maintaining and effectively controlling MMC’s equipment and inventory management systems
• Overseeing the preparation, analysis, negotiation, and reviewing of contracts related to purchasing materials, supplies, products, or services with attention to budgetary constraints
• Managing the maintenance and repair of MMC’s fixed assets and equipment’s
• Monitoring and overseeing the procurement of Day Care Centres and Head Office supplies, equipment’s, assets etc.

Other Responsibilities:
• Supporting Finance department in internal and audit activities to ensure auditors are provided with necessary HR and Administration information to complete timely audits.
• Overseeing filing systems, reviewing and managing annual maintenance contracts, scrutiny of bills and other administration matters required for smooth operations.
• Assisting and supporting the Chief Executive as and when required
• Designing HR & Admin related documents.

Preferred Qualifications
• Bachelor's degree in Human Resources, Business Administration, or equivalent.
• Minimum 7 years and above
• Comprehensive knowledge of employment law and recommended HR practices
• Well-versed in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
• Proficiency in HR information systems and databases
• Excellent oral and written communication skills.
• Experiencing in leading, managing, and training employees for HR functions
• Ability to work independently and deliver the desired outcome will be valued.

Mumbai Mobile Creches’ administrative office is in South Mumbai. Working hours are 9.30 am – 5.30 pm. Every 2nd and 4th Saturday of the month is a holiday.

Salary will be commensurate with skills and experience.
